How RPL Works with Enrol Onboarding

✨ Updated feature alert

This feature update is available from Thursday, 5th November 2026.

Overview

When a learner is placed on an Enrol Onboarding workflow that includes an RPL step, their RPL account and application are set up in RPL automatically. This article explains when each part is created, how tutors are linked, and what happens if an application is removed.

What's Changed?

  • The learner's RPL account is created as soon as they are put on an RPL workflow, even before a tutor is assigned.
  • The RPL application is created only when the learner reaches the RPL step.
  • If a tutor is assigned later, the RPL application is created automatically as soon as the tutor is assigned.
  • Any Enrol Onboarding user assigned as a tutor is matched to an existing RPL user, or created in RPL, using their email address.
  • Removed RPL applications are kept in the background, so assessment history isn't lost.

How a Learner Is Set Up in RPL

When this happens in Enrol Onboarding……this happens in RPL
The learner is put on a workflow with an RPL stepThe learner's RPL account is created
The learner reaches the RPL step and has a tutorThe RPL application is created
The learner reaches the RPL step but has no tutor yetThe RPL application is created as soon as a tutor is assigned
A user is assigned as the learner's tutorThe tutor is matched to an RPL user with the same email address, or a new RPL user is created

Steps

  1. Place the learner on a programme or workflow that includes an RPL step. Their RPL account is created straight away.
  2. Assign a tutor to the learner. You can do this before or after the learner reaches the RPL step.
  3. When the learner reaches the RPL step, their RPL application is created. If no tutor is assigned yet, the application is created as soon as you assign one.

⚠️ Important: Tutors are matched in RPL by email address. Make sure a tutor's email address in Enrol Onboarding matches the one they use in RPL, otherwise a separate RPL user will be created for them.

Tips & Notes

  • If a learner's RPL application hasn't appeared, check that they have reached the RPL step and that a tutor is assigned.
  • When you change a learner's programme or workflow, you can copy the RPL step so their current application carries on. If you don't copy it, the open application is replaced and its assessment history is kept.
  • Learners created in RPL through Enrol Onboarding are read-only in RPL.
