Change a Learner's Programme or Workflow in Enrol Onboarding

✨Updated feature alert

This feature update is available from Thursday, 22nd October 2026.

Overview

Admins can now change a learner's Programme or Workflow, making it easier to keep learner data accurate when a learner's circumstances or route change. As part of the change, employer and learner forms can be copied across automatically, so the same information doesn't need to be re-entered.

User Roles

This feature can be used by:

  • Admin

Steps to Change a Learner's Programme or Workflow

  1. Click Learners in the left-hand navigation menu.
  2. Click the three dots next to the learner you want to change.
  3. Select Edit.
  4. Click the three dots on the right-hand side.
  5. Select whether you want to assign a new workflow, or add or change a programme.

Tips & Notes

  • Employer and learner forms can be copied automatically as part of a programme transfer or change of workflow, so the same information doesn't need to be re-entered.
  • Forms are only copied when they are identical across both workflows. If the form requirements have changed, the new forms will need to be completed.
  • When you move a learner to a new programme or workflow, you can now bring across the Skills Forward / BKSB step and introduction steps they’ve already done. The learner doesn’t have to repeat assessments or introduction.
  • Only steps that are Completed or In progress are listed. Steps that haven’t been started aren’t offered.
  • An introduction step can only be copied if the new programme has an introduction step with the same name. If there’s no match, the step isn’t offered.
  • Original steps aren’t changed. They stay as they are on the previous programme, because steps are copied rather than moved
