Overview
When setting up a new Enrol Onboarding Centre, it is recommended that you complete the setup in the following order:
- Programmes
- Workflows
- Employers & Employer Contacts
- Learners
Following this sequence helps ensure that all required records, relationships, and dependencies are in place before learners are created.
User Roles
This feature can be used by:
- Admin – Full access to import programmes, create workflows, and manage employers and learners.
- Tutor – Can create and manage learners and employers within their assigned hierarchy but cannot access system configuration, workflows, or programme imports.
Recommended Setup Order
Step 1: Import Programmes
Start by importing your programmes into the Onboarding Centre. Programmes define the qualifications or courses that learners will be enrolled onto.
Why this matters: Programmes form the foundation of the onboarding process. Workflows, employers, and learner enrolments all depend on programmes being available first.
Step 2: Create Workflows
Once programmes have been imported, create the workflows that will guide learners through onboarding and completion activities.
Why this matters: Workflows are built around programme structures. Creating them before programmes exist may result in additional setup and rework later.
Step 3: Create Employers and Employer Contacts
Create employer records and add the relevant employer contacts.
Why this matters: Learners are commonly linked to an employer during creation. Having employer records in place beforehand allows learner records to be completed in a single process.
Step 4: Create Learners
With programmes, workflows, and employers already configured, learner records can now be created and assigned correctly.
Why this matters: Creating learners last ensures all dependencies already exist, reducing administration and preventing incomplete learner records.

- Complete each setup stage before moving on to the next.
- Use programme imports where possible to maintain consistency across Onefile products.
- Verify employer contact details before creating learners.
- Review workflows carefully before assigning learners.
- Creating learners before programmes or workflows are configured may result in additional manual updates later.
