Overview
The Users section within Enrol Onboarding allows Administrators to set up and manage user accounts, update user information, control permissions, and maintain account hierarchies. This ensures the right users have the correct level of access for supporting their learners.
User Roles
The table below outlines the roles available in Enrol Onboarding and the access each role provides:
| User Role | Feature |
|---|---|
| Admin | Users with full access to the software. Admins can configure workflows, manage system settings, and create interactions. |
| User | Users with access to their assigned learners. They can view learner information and complete tasks relating to their learners. |
Key Functions Available

| Import Users | Allows users to import user accounts from another Onefile product, ensuring records stay linked across systems. | Admin |
| Create Users | This option is used for creating new Engage users who do not already have an Eportfolio account. | Admin |
| View | Displays user details, sub-users (if applicable), and assigned learners. | Admin / User |
| Edit | Allows users to update their personal details. (Email address cannot be changed.) | Admin / User (own record only) |
| Archive | Archives a user and removes them from active lists. | Admin |
| Delete | Permanently deletes a user from the system. | Admin |
| Assign Users | Creates the user hierarchy within Engage. | Admin |
Tips & Notes
- Email addresses cannot be changed once a user has been created.
- Only Admin users can archive or delete accounts.
- Using the Import function ensures data remains linked between Enrol Onboarding and other Onefile products.
