Searching for a Learner Record

Overview

ILR provides multiple search tools to help you quickly locate and load learner records. All search methods lead to the Search Results screen, where you can view key learner details and open full records.

Tip: Search results are filtered based on your User Role and the Site you are currently logged into.

ILR displays each period of learning as a separate record, so you may see multiple entries for the same learner.

Search Methods Available

  • Basic Search
  • Advanced Search
  • Quick Search

Basic Search

Located on the right side of the Home Screen. You can search using:

  • Learner Reference Number
  • Surname
  • Unique Learner Number (ULN)

You can also filter results by Learner Status:

  • All
  • Active
  • Closed

Use Recent Records to quickly reopen learners or employers you viewed recently.

Advanced Search

Accessed via Learners → Search for Learner. Includes all Basic Search fields plus:

  • Forename
  • NI Number
  • Date of Birth
  • Learning Aim Reference
  • Start Date

Additional filters include:

  • Learner Type: Live, Archived, or All
  • Learning Status: In Learning, Withdrawn, Completed, Active, Closed
  • Assessor
  • Employer

⚡ Quick Search

Accessible from any screen via the Search button in the top-right corner.

  • Search by Learner Reference Number, Surname, or ULN.
  • Your search term remains stored until you log out.

Tips & Notes

  • Use Advanced Search for the most targeted results.
  • If you see several records for one learner, check dates and programme details.
  • Quick Search is ideal for fast navigation while working across multiple areas.
