Upcoming Software Update: EPortfolio

On Thursday, 2nd July 2026, we’ll be introducing new enhancements to EPortfolio.

Creating a New User Account

Overview

ILR uses its own set of user roles and permissions, separate from other Onefile products. When creating a user account in ILR:

  • If the user already has a Onefile Keychain account, the ILR account will be linked automatically.
  • If the user does not have a Keychain account, ILR will initiate the Keychain setup process.

Tip: You can create user accounts when logged in as one of the following roles:

  • Project Admin
  • Provider Admin
  • Site Admin

Note: Provider Admins and Site Admins can only grant access to areas they themselves have permission for.

Steps to Create a New User

  1. Log in to Tracker with your Project Admin role.
  2. If already logged in, select Project Admin from the User Role dropdown at the top of the screen.
  3. Expand the Project Admin menu on the left-hand side.
  4. Click User List.
  5. Click the New button in the bottom-left corner.
  6. Enter the required user details:
    • First Name
    • Surname
    • Email Address
  7. If the user will be an Assessor connected to your Eportfolio system, tick the Assessor checkbox.
  8. Select the required User Role from the list on the right.
  9. Click Add New Role.
  10. If additional permissions are needed (e.g., Provider or Site access), tick the appropriate boxes.
  11. Click Save.

What Happens Next?

  • If the user already has a Keychain account: Tracker will appear automatically as one of their available products.
  • If the user does not have a Keychain account: They will receive an email prompting them to set up their Keychain security credentials.

Tips & Notes

  • The email address must be unique and valid, as it is used for Keychain setup.
  • Users may need to log out and back in for new roles or permissions to take effect.
  • You can return to the User List to update roles or permissions at any time.
