Creating an ESFA XML Export File

ILR provides a straightforward interface to generate XML export files required for submission to the Education and Skills Funding Agency (ESFA) as part of your data return.

Who Can Create Export Files?

You must be logged in with one of the following user roles:

  • Project Admin
  • Provider Admin
  • Site Admin
  • Power User

 Note: The data included in the export file depends on your user role:

  • Project Admin: Full system data
  • Other roles: Data limited to your access level

Steps to Create an XML Export File

  • Log in with your desired user role.
  • Click on the Export menu on the left-hand side.
  • Select the Year of Collection.
  • Choose the appropriate Collection Period.

Previously created XML files will be listed.
You can delete old files if needed, but keeping a library of past submissions is often helpful.

  1. Click Create Export in the bottom-left corner.
  2. The screen will refresh once the file is successfully created.
  3. Click the filename to begin downloading your XML file.

Submitting Your File

Once downloaded, you can upload the XML file to the Submit Learner Data portal to complete your ESFA data return.
