Upcoming Software Update: Enrol Onboarding

On Thursday, 18th June 2026, we’ll be rolling out a series of improvements to Enrol Onboarding.

Create a New Episode

Overview

When a learner begins a new qualification, Centres should create a new Episode in Onefile Eportfolio. After creating the new Episode, you can archive the previous one. Once the old Episode is archived, the learner seat becomes available again.

User Roles

This feature can be used by:

  • Centre Manager
  • User Manager

Steps

How to Create a New Episode

  1. Click Users from the left-hand navigation bar.
  2. Click Episodes.
  3. Click Create New Episode.
  4. Enter the required Episode details.
  5. Click Save.

Once the new Episode has been created, the previous Episode should be archived. Click here for guidance on archiving an Episode.

Key Information

  • The new episode will be automatically added to the learner’s Keychain.

Tips & Notes

  • Archiving old Episodes helps maintain clean and accurate learner records.
  • Only active Episodes use a seat; archived Episodes do not.
  • Ensure Episode dates are correct to avoid reporting inconsistencies.
