Update Learner's ULN/NINO

Overview

Centre Managers, User Managers, and users with the appropriate permissions can update a learner’s Unique Learner Number (ULN) or National Insurance Number (NINO) in Onefile. These fields can be updated via the learner’s Episode tab.

Who Can Use This Feature?

This feature can be used by the following user roles:

  • Centre Manager
  • User Manager
  • Internal Quality Assurer (with permission)
  • Trainee Internal Quality Assurer (with permission)
  • Assessor (with permission)
  • Trainee Assessor (with permission)

Permissions Required

  • Manage learner accounts

Steps

Centre Manager / User Manager

  1. Click Users in the left-hand navigation menu.
  2. Click Learners.
  3. Search for and select the learner.
  4. Click the Episode tab.
  5. Enter the ULN/NINO in the relevant fields.
  6. Click Save.

Assessor / Internal Quality Assurer

  1. Navigate to the learner’s account.
  2. Click the Episode tab.
  3. Add the ULN/NINO in the relevant fields.
  4. Click Save.

Tips & Notes

  • Ensure your role has the Manage learner accounts permission before attempting updates.
  • ULN and NINO fields must be entered accurately to avoid data mismatches in reporting or external systems.

Troubleshooting

IssueSolution
Cannot edit ULN/NINOCheck if you have the Manage learner accounts permission assigned.
Changes not savingEnsure all mandatory fields are completed, then click Save again.
