Overview
You can manage which email alerts you receive from Onefile by updating your Email Preferences. This allows you to control daily digests, adhoc notifications, completion alerts, and which linked email addresses receive messages.
Who Can Use This Feature?
All Onefile users can update their own email alert preferences.
Centre Settings
No additional centre settings are required to manage email preferences.
Steps to Change Your Email Alert Preferences
Step 1: Open Your Profile
- Click your name in the top‑right corner.
- Select Profile.
Step 2: Open Email Preferences
- Click the Email Preferences tab at the top of the page.
Step 3: Manage Email Addresses
- If you have multiple email addresses linked to your account, you can tick or untick the Email Alerts checkbox to decide whether that email receives notifications.
Important: Password reset emails will always go to your primary email address, even if email alerts are turned off for that address.
Email Alert Types
Adhoc Alerts
- Tick Adhoc Alerts to receive instant emails when something happens in Onefile, such as:
- New messages
- New tasks assigned to you
Daily Digest
- Tick the checkboxes for the days you want to receive a Daily Digest email.
- The Daily Digest provides a summary of important activity, such as:
- Tasks to do
- Unread messages
- Reviews upcoming (Assessors only)
- Reviews overdue (Assessors only)
- Learners added/removed from caseload (Assessors & IQAs only)
Completion Alerts
Completion alerts notify you when learners complete learning aims or their full portfolio.
- Assessors & IQAs receive alerts when:
- Any of their learners complete a learning aim
- Any of their learners complete their portfolio
- Centre Managers, Centre Monitors & User Managers receive alerts when:
- Any learner completes a learning aim
- Any learner completes their portfolio
Note: Completion alerts are automatically generated and appear as messages sent from the learner’s account.
Important Notes
- Only your primary email address can receive password reset emails.
- If email alerts are not coming through, check that the correct email address is selected to receive notifications.
✅ Tip: Review your email preferences regularly — especially if your role or responsibilities change — to ensure you are receiving the alerts you need.
