Overview
Archiving a user account removes the user from active lists and reports while reassigning any pending tasks to another user. This feature is available to authorised roles.
Who Can Use This Feature?
This feature can be used by the following user roles:
Centre Managers
User Managers
Steps to Archive a User Account
Navigate to Users
- Click Users in the navigation menu.
Find the User
- Search for the user you want to archive.
Access Account Settings
- Click Account next to their name.
Archive the Account
- Scroll to the bottom of the page and click Archive.
- Read the on-screen message.
- Click Allocate caseload and tasks to this user to select a new user for reassignment.
- Click Archive to confirm.

- Trainee Assessor
- Assessor
- Internal Verifier
Impact on Reports and Lists
- Archived users will be hidden from reports and search results.
- Any pending tasks will be reassigned to the selected user during the archive process.
✅ Tip: Always confirm the new user for task reassignment before archiving to avoid workflow interruptions.
