Overview
No. Wellbeing Check-ins are designed to support learner wellbeing and provide Centres with additional insight into learner support requirements. They do not replace or alter existing learner support processes and do not directly affect funding claims.
Responses submitted through a Wellbeing Check-in are recorded as wellbeing information and should be considered separately from any funding evidence or support documentation used by your organisation.
Can a Learner's Response Affect Funding?
No. A learner selecting a particular wellbeing response does not automatically change funding eligibility, support arrangements, or the evidence held by your Centre.
For example, if a learner indicates that they do not currently require support through a Wellbeing Check-in, this does not remove any existing support records or evidence already maintained by your organisation.
How Do Wellbeing Check-ins Differ from Support Records?
Wellbeing Check-ins are intended to capture how a learner is feeling at a particular point in time.
They are separate from other Inclusion Module records such as:
- Support Plans
- Support Needs
- Barriers to Learning
- Reasonable Adjustments
- Support Delivery Records
- Evidence of Need
These records continue to provide the primary evidence and documentation used to support learner support processes.
What Should Centres Continue to Do?
Centres should continue to follow their existing learner support, funding, and compliance processes.
Wellbeing Check-ins should be used to complement these processes by providing additional insight into learner wellbeing and helping identify where further support may be beneficial.
⚠️ Important: Wellbeing Check-ins should not be relied upon as the sole source of information when making decisions about learner support arrangements.
Example
A learner is receiving additional support and has an active Support Plan.
- The learner completes a Wellbeing Check-in.
- The learner indicates that they currently feel well supported.
- The existing Support Plan remains in place.
- The learner's support records, evidence, and support history remain unchanged.
- Staff can continue to review support requirements through the Centre's existing processes.
Tips & Notes
- Wellbeing Check-ins are separate from learner support evidence.
- Learner responses do not automatically affect funding eligibility.
- Existing Support Plans and support records remain unchanged unless updated by authorised staff.
- Wellbeing information should be used alongside other learner support records.
- Centres should continue to follow their normal funding and compliance procedures.
