✨ Frequently Asked Question
This article forms part of our Inclusion Module FAQ series.
Overview
Yes. The Inclusion Module includes a range of visibility controls that allow Centres to control what information learners can see.
Learner access to the Inclusion Module is disabled by default, and individual records can also be configured to be visible or hidden from learners where appropriate.
This helps Centres manage sensitive support information while maintaining confidentiality and safeguarding requirements.
How Learner Access Works
Learner access is controlled at two levels:
- Learner access to the Inclusion Module.
- Visibility settings on individual records.
Access to the Inclusion Module
By default, learners cannot access the Inclusion Module.
A member of staff must enable learner access before a learner can view Inclusion information within their portfolio.
If learner access remains disabled:
- The Inclusion Module will not be displayed to the learner.
- The learner cannot view support information.
- The learner cannot access wellbeing check-ins.
Record-Level Visibility
Even when learner access has been enabled, individual records can still be hidden from view.
The following records include a Visible to Learner setting:
- Barriers to Learning
- Support Needs
- Support Plans
This allows Centres to decide whether specific information should be visible to the learner.
Support Plans and Visibility Rules
Support Plans inherit visibility restrictions from linked records.
If a linked Barrier to Learning or Support Need is hidden from the learner, any associated Support Plan cannot be made visible to the learner.
⚠️ Important: A Support Plan cannot be more visible than the records it is linked to.
Example
A learner has a Support Need recorded by a member of staff.
- The Support Need is marked as Not Visible to Learner.
- The learner cannot view the Support Need.
- Any linked Support Plan will also be hidden from the learner.
- Authorised staff can still access and manage the information.
Can Learners See All Areas of the Module?
No. Access to different areas of the Inclusion Module can be controlled through permissions and visibility settings.
Your Centre may choose to:
- Allow learners to complete wellbeing check-ins.
- Allow learners to view support plans.
- Hide selected support information.
- Disable access completely.
This flexibility allows each Centre to implement the Inclusion Module according to its own support processes.
Tips & Notes
- Learner access to the Inclusion Module is disabled by default.
- Visibility settings can be applied to individual records.
- Support Plans inherit visibility restrictions from linked records.
- Staff permissions are managed separately and are not affected by learner visibility settings.
- Hidden records remain available to authorised staff users.
