Overview
No. Learners do not need to be granted access to the Inclusion Module in order to appear in the Learners tab.
The Learners tab displays all learners that you already have permission to access within Onefile Eportfolio. The learner-level Inclusion setting only controls whether the learner can access the Inclusion Module themselves.
How Learner Visibility Works
Learner visibility within the Inclusion Module follows the same access rules as Onefile Eportfolio.
If you can already view a learner within Eportfolio, that learner will also appear within the Inclusion Module.
This means:
- Assessors see learners assigned to them.
- Centre Managers see learners according to their existing permissions.
- Users only see learners they normally have permission to access.
What Does the Learner Access Setting Control?
The learner access setting controls whether the learner can view and interact with the Inclusion Module through their own portfolio.
It does not control:
- Whether staff can see the learner.
- Whether the learner appears in the Learners tab.
- Whether support staff can access learner support records.
It only controls whether the learner themselves can access Inclusion features that have been made available to them.
Why Can't I See a Learner?
If a learner is not appearing in the Learners tab, check the following:
- You have permission to view the learner within Eportfolio.
- The learner is assigned to your caseload or hierarchy.
- Your role has access to the Inclusion Module.
- Any user-specific permission overrides have been configured correctly.
⚠️ Important: The learner's Inclusion access setting will not affect whether staff can see them within the Inclusion Module.
Example
An Assessor has access to Learner A within Eportfolio.
- Learner A has Inclusion Access Disabled.
- The Assessor will still see Learner A in the Inclusion Module.
- Learner A will not be able to access the Inclusion Module themselves until access is enabled.
Tips & Notes
- Learner visibility and learner access are controlled separately.
- Staff access is controlled through permissions and learner assignments.
- Learner access is disabled by default.
- Enabling the learner setting grants access to the learner only and does not affect staff visibility.
