Overview
Wellbeing Check-ins enable learners to regularly report on their wellbeing and provide Centres with greater visibility of support needs as they arise.
Rather than scheduling individual check-ins for each learner, the Inclusion Module uses configurable frequencies to automatically create learner tasks. This helps Centres maintain consistent wellbeing monitoring while reducing administration.
How Are Wellbeing Check-ins Scheduled?
Wellbeing Check-ins are managed using a frequency setting rather than individual appointment dates.
Available frequencies are:
- Not Required
- Daily
- Weekly
- Fortnightly
- Monthly
These settings can be applied across the Centre or configured through templates, depending on your organisation's processes.
How Learners Receive Check-ins
When a wellbeing check-in is due, the system automatically creates a task for the learner.
The learner can:
- Open the task.
- Complete the wellbeing check-in.
- Submit their responses.
Once submitted, the task is automatically cleared.
Can Learners Complete Additional Check-ins?
Yes. Learners are not restricted to scheduled check-ins.
If required, learners can submit an additional wellbeing check-in at any time, allowing them to raise concerns or communicate changes between scheduled submissions.
Can the Questions Be Customised?
Yes. Wellbeing Check-in questions are fully configurable.
Centres can tailor questions to reflect their wellbeing processes, safeguarding requirements, and learner support strategies.
What Happens After a Learner Submits a Check-in?
The completed wellbeing record is stored within the Inclusion Module and becomes available to authorised users based on their permissions.
If critical responses have been configured within the template, additional notifications may be generated for nominated staff members.

Example
A Centre configures wellbeing check-ins to run monthly.
- A learner automatically receives a monthly wellbeing task.
- The learner completes and submits their responses.
- The task is removed from their task list.
- Authorised staff can review the submission.
- If a critical response is selected, a notification may be generated.
