✨ Frequently Asked Question
This article forms part of our Inclusion Module FAQ series.
Overview
Partially. Some Inclusion Module information can already be populated automatically through existing integrations, while other Inclusion-specific data is currently entered manually.
The Inclusion Module uses a combination of existing learner information stored within Onefile Eportfolio and additional support information recorded directly within the module.
What Data Is Already Populated Automatically?
Core learner information is held within the existing Eportfolio learner record.
If your Management Information System (MIS) already sends data to these learner fields, that information will automatically be available within the Inclusion Module.
This may include information such as:
- Learner details.
- Programme information.
- Learning aims.
- Existing ILR characteristics.
- Other learner data already stored within Eportfolio.
What Data Must Be Entered Manually?
Inclusion-specific information is currently recorded directly within the Inclusion Module.
This includes areas such as:
- Barriers to Learning.
- Support Needs.
- Support Plans.
- Reasonable Adjustments.
- Support Reviews.
- Wellbeing Check-ins.
- Support Delivery Records.
This information is designed to reflect ongoing conversations and support activities and is therefore managed within the Inclusion Module itself.
Will More Integration Options Be Available?
Yes. Onefile plans to expand its API capabilities to support additional integration opportunities in future releases.
This will allow organisations to populate more Inclusion-related data through external systems where appropriate.
Details of future enhancements will be communicated through release notes and Help Centre articles.
How Does This Affect Existing Integrations?
No changes are required to existing MIS integrations.
Any learner information that is already synchronised with Eportfolio will continue to be displayed throughout the platform, including within the Inclusion Module where relevant.
Example
A Centre uses an MIS to synchronise learner records with Onefile Eportfolio.
- The learner's personal details are imported automatically.
- The learner's programme information is imported automatically.
- Support Needs and Support Plans are then recorded directly within the Inclusion Module.
This provides a balance between automated learner data and support information managed by staff.
Tips & Notes
- Existing Eportfolio learner data can already be displayed within the Inclusion Module.
- Support-related records are currently managed directly within the Inclusion Module.
- No changes are required to existing MIS integrations.
- Additional API functionality is planned for future releases.
- Centres should continue to use their existing learner import and integration processes.
