Can Inclusion Information Be Hidden from Employers?

Overview

Yes. The Inclusion Module includes multiple levels of visibility controls, allowing Centres to manage who can view learner support information.

Information can be hidden from Employers at both a permission level and an individual record level, helping Centres manage sensitive learner information appropriately while maintaining confidentiality.

How Employer Visibility Works

Employer access to the Inclusion Module is controlled in two ways:

  1. Role-based permissions.
  2. Record-level visibility settings.

Role-Based Permissions

Employer is a role within the Inclusion Module permission model. Access can be configured independently for each area of the module.

Available permission levels include:

  • No Access
  • Read Only
  • Read/Write

This allows Centres to determine exactly which parts of the Inclusion Module are available to Employers.

Record-Level Visibility

Individual records can also be configured independently using visibility controls.

The following record types include visibility settings:

  • Barriers to Learning
  • Support Needs
  • Support Plans

Each record contains a Visible to Employer setting, allowing you to decide whether that specific record should be visible to Employers.

Support Plans and Hidden Records

If a Support Plan is linked to a Barrier to Learning or Support Need that has been hidden from Employers, the Support Plan cannot be made visible to Employers.

This helps prevent sensitive information from being exposed through linked records.

⚠️ Important: A Support Plan cannot be more visible than the records it is linked to.

Example

A learner has a Support Need recorded that is marked as Not Visible to Employer.

  • The learner's Support Need will be hidden from the Employer.
  • Any Support Plan linked to that Support Need will also be hidden.
  • Authorised staff with the appropriate permissions will still be able to view the information.

Who Can Still View Hidden Information?

Hiding information from Employers does not affect staff access.

Access for staff members is controlled separately through the Inclusion Module permission settings.

Users with the appropriate permissions may still be able to:

  • View hidden records.
  • Edit support information.
  • Manage support plans.
  • Review learner support activity.

Tips & Notes

  • Employer visibility can be controlled at both role and record level.
  • Visibility settings should be reviewed when creating Support Needs, Barriers to Learning, and Support Plans.
  • Hidden support records remain available to authorised staff.
  • Support Plans inherit visibility restrictions from linked records.
  • Employer permissions can be configured independently for each Inclusion Module area.
