Overview
As part of a learner’s ILR record, Tracker allows you to record multiple Employment Status entries. These entries reflect changes to a learner’s employment throughout their learning journey.
This guide covers:
- Adding an Employment Status record
- Editing an existing Employment Status record
- Deleting an Employment Status record
Note: Employers must be created in Tracker before they can be linked to an Employment Status.
➕ Add an Employment Status Record
- Use ILR’s Search tools to locate and open the learner record.
Tip: See our separate guide for help using Tracker’s search facilities. - Go to the Employer tab.
- Click Edit Employment Status to open the Employment History screen.
- Click Add Employment Details (bottom-left corner).
- Enter the Start Date:
- Use the Calendar icon, or
- Type the date manually and press Tab.
- Select the appropriate Employment Status from the list.
- (Optional) Select the Employer to link to this record.
- Add any required Monitoring Codes.
- Click Save.
✏️ Edit an Existing Employment Status Record
- Use ILR’s Search tools to locate and open the learner record.
- Go to the Employer tab.
- Click Edit Employment Status.
- Hover over and click the existing Employment Status record (it will highlight).
- Make any required changes in the details panel.
- Click Save.
?️ Delete an Employment Status Record
User Roles required: Project Admin or Power User
- Use ILR’s Search tools to locate and open the learner record.
- Go to the Employer tab.
- Click Edit Employment Status.
- Click the Delete button on the right‑hand side of the Employment Status entry.
Important: A learner must always have at least one Employment Status record. If replacing a record, add the new one before deleting the existing one — or simply edit the existing record instead.
Tips & Notes
- Ensure Employment Status dates do not overlap incorrectly.
- If an Employer cannot be selected, check that the Employer has been added to Tracker.
- Monitoring Codes must match ESFA funding rules for the applicable year.
