Overview
Tracker maintains its own database of Apprenticeship Standards and Learning Aims. Before these can be assigned to learners, new Standards and Aims must be added manually. This guide explains how to search for the correct information and add it to Tracker.

Search for an Apprenticeship Standard
- Go to the Find a Learning Aim website.
- Enter the name of the Apprenticeship Standard in the Search box.
- In the Type of learning dropdown, select Standards (not Qualifications).
- Click the green Search button.
- Locate the correct Apprenticeship Standard and note the 3‑digit code.
Tip: Keep this browser tab open — you will need it later to find the associated non‑regulated learning aim.

User Roles
- Project Admin
Steps
- Log in to Tracker and select the Project Admin role from the top of the screen.
- Expand the Project Admin menu on the left.
- Click Apprenticeship Standards.
- Click the New button (bottom left).
- Enter the 3‑digit code and Description.
- Include the Level in the description for easier identification.
- Click Update.
✅ The Apprenticeship Standard is now available in templates and learner records under the Programme tab.
Search for Learning Aim References
You will need the 8‑digit Learning Aim Reference to add a qualification to Tracker.
Option A: Search by Qualification Title
- Go to the Find a Learning Aim website.
- Enter the qualification title in the search box.
- Click the green Search button.
Option B: Find Non‑Regulated Learning Aim from Apprenticeship Standard
- Return to the Apprenticeship Standard title from your earlier search.
- Click Related learning aims.
- Note the associated non‑regulated learning aim.

User Roles
- Project Admin
- Power User
Steps
- Log in to Tracker and select either the Project Admin or Power User role.
- Expand the Project Admin (or Site Admin) menu.
- Click Aim References.
- Click the New button (bottom left).
- Enter the 8‑digit Learning Aim Reference and click Search.
- Select the correct Learning Aim Record.
- Click Save.
✅ The Learning Aim Reference is now available for use in templates and learner records.
Tip
On the Aims tab, use the notepad icon to search and select Learning Aims. Clicking Search with no text entered will display all available aims.
Tips & Notes
- Always double‑check the Standard code and Aim Reference to ensure accuracy.
- Learning Aims update regularly — use the Find a Learning Aim website to verify the most current information.
- Multiple Learning Aims may link to a single Apprenticeship Standard; ensure you choose the correct one based on programme delivery.
