Overview
Access to the Inclusion Module is controlled by your Centre's permission settings. Skills Coaches are typically mapped to the Assessor role within Onefile Eportfolio, although your Centre may use different terminology.
This means the level of access available to Assessors and Skills Coaches can vary between Centres and is determined by a Centre Manager.
How Access Is Controlled
Every area of the Inclusion Module can be configured independently using the following permission levels:
- Inherit
- No Access
- Read Only
- Read/Write
Permissions are normally applied at role level, meaning all users assigned to the same role receive the same access. Individual user overrides can also be applied where required.
Default Assessor Access
Once Inclusion Module access has been granted to the Assessor role, Assessors typically receive Read/Write access to learner support areas, enabling them to:
- View learner support information.
- Record support needs.
- Manage barriers to learning.
- Contribute to support plans.
- Review support activity.
- View wellbeing information, where permitted.
Note: These permissions can be changed by your Centre and may differ from the default configuration.
Access to Settings
In most Centres, configuration areas of the Inclusion Module are restricted to Centre Managers.
This includes areas such as:
- Global Settings.
- Lookup Values.
- Notification Configuration.
- Role Permissions.
- System-wide Wellbeing Settings.
What Is the Support Coordinator Role?
The Inclusion Module includes a separate Support Coordinator permission.
This permission is disabled by default and can be granted to users who need additional responsibility for learner support, wellbeing monitoring, and coordination activities.
Does Learner or Employer Visibility Affect Staff Access?
No. Learner and Employer visibility settings only control what those audiences can see.
Staff access is controlled separately through the Inclusion Module permission settings and user role permissions.
⚠️ Important: Hiding information from a learner or employer does not prevent authorised staff from viewing that information.
Example
A Centre may configure permissions as follows:
- Assessors – Read/Write access to learner support areas.
- Support Coordinators – Full learner support access with notification permissions.
- Centre Managers – Full access, including settings and configuration.
- Employers – Read Only access to selected support information.
This allows support information to be managed securely while ensuring users only see the information relevant to their role.

- Skills Coaches typically use the Assessor role within Onefile Eportfolio.
- Permissions can be configured separately for each area of the Inclusion Module.
- User-level permission overrides take precedence over role-level settings.
- Support Coordinator permissions are available but disabled by default.
- Settings areas are usually restricted to Centre Managers.
