Create a Class

Overview

Classes in Onefile are used to group learners together for reporting, searching, and organisational purposes. You can group learners by sector, qualification, intake date, cohort, or any structure that suits your Centre’s needs.

Who Can Use This Feature?

  • Centre Manager
  • User Manager

Centre Settings

No additional centre settings are required to create a class.


Steps to Create a Class

Step 1: Navigate to the Classes Area

  • Click Quality in the navigation menu.
  • Click Classes.

Step 2: Create the New Class

  • Click Create new class.
  • Enter the Class Name.
  • Set the Start Date for the class.

Step 3: Configure Class Options

  • Select a Framework Template if you want it to be automatically assigned when creating learners within this class.
  • Choose whether the IV/IQA must sign off the learner’s portfolio.
  • Choose whether to send a completion task to learners when they complete their portfolio.
  • If completion tasks are enabled, enter a Completion Message (this will be shown to the learner when they complete their portfolio).
  • Tick the Assessment Methods you want to be available for learners in this class.

Step 4: Save the Class

  • Click Save.

✅ Tip: Using clear, consistent class names (e.g., “Business Admin Cohort Feb 2026”) helps with reporting and filtering across your centre.

Only one Class can be assigned to a learner at any one time.
