Manage Inclusion Access for Several Learners at Once in Onefile Inclusion

Overview

Previously, you could only switch Inclusion access on or off for one learner at a time. A new Learner Access tab under Settings lists the learners in your Centre with their current access status and lets you change several at once.

Permissions

You need Read/Write on the Learner Access Switch permission to use this. The Employer, Observer, External Verifier, and Internal Verifier roles cannot make this change.

Steps to Change Access for Several Learners

  1. Go to Settings and open the Learner Access tab.
  2. Tick the checkbox against each learner you want to change, or use the checkbox in the header row to select everyone shown on the page.
  3. In the bar that appears above the list — showing how many learners are selected — click Enable or Disable (or Clear to deselect).
  4. Confirm the change. Enable and Disable both ask you to confirm first, stating how many learners the change will affect.
  • Use the search box to find learners by name.
  • The Status column shows Enabled or Disabled against each learner.

Setting the Default for New Learners

The same tab has a checkbox, Enable learner access by default for new learners. This decides whether learner access starts switched on for learners added from that point onwards.

⚠️ Important: This default does not change the setting for existing learners. Use the list on the Learner Access tab to change those.

Tips & Notes

  • The effect is the same as changing the switch for a learner individually: enabling gives the learner the Learner Support tiles, the side-menu entry, and the module's tabs; disabling removes all access, including by direct link.
  • Selecting the header checkbox only selects the learners shown on the current page.
