Adding an email address to a Safe Sender list

Overview

If you are not receiving Onefile emails, such as notifications or password resets, your email system may be filtering them into Spam or blocking them entirely. Adding Onefile email addresses to your Safe Sender list helps ensure these messages reach your inbox.

User Roles

This guidance applies to:

  • Learners
  • Assessors & Trainee Assessors
  • Centre Managers
  • Employers
  • Any user not receiving expected Onefile emails

Emails to Add to Your Safe Sender List

  • alert@onefile.co.uk
  • dailydigest@onefile.co.uk
  • noreply@onefile.co.uk
  • @onefile.co.uk (recommended domain-level safelist)

How to Add a Safe Sender (Common Providers)

Outlook / Office 365

  1. Open Outlook.
  2. Click Settings (top right).
  3. Click View all Outlook settings.
  4. Go to MailJunk email.
  5. Under Safe senders and domains, click Add.
  6. Enter the email address or domain (e.g. @onefile.co.uk).
  7. Click Save.

Gmail

  1. Open Gmail.
  2. Click the Settings gear → See all settings.
  3. Select Filters and Blocked Addresses.
  4. Click Create a new filter.
  5. Enter the email address (e.g. alert@onefile.co.uk).
  6. Click Create filter.
  7. Tick Never send it to Spam.
  8. Click Create filter.

Apple Mail (iPhone / iPad)

  1. Open the Mail app.
  2. Find an email from Onefile (or wait for the next email to arrive).
  3. Tap the sender’s address at the top.
  4. Tap Add to VIP.

Organisation-Wide (IT Team Required)

If you are using a corporate email domain, your IT department may need to whitelist Onefile’s sending domain:

@onefile.co.uk

Tips & Notes

  • Always check your Junk or Spam folder first.
  • If using Outlook desktop and Outlook online, you may need to add safe senders in both.
  • If emails still do not arrive, your firewall or organisation filter may be blocking them.
