Software Update: Wednesday 19th February 2025 7am - 7:30am

On Wednesday, we're updating OneFile Eportfolio, API and Integrations to introduce some new enhancements and fixes. 

Enhancements

Eportfolio

• Data Exports

  New organisation and learning journal data exports are now available upon request.

  OneFile : Data Export fields 

• Reviews

  It is now possible to set the default review frequency centre setting in weeks or months.

• Assessment Methods

  Assessment methods have been updated to include a new 'Off-The-Job' setting. When enabled, this setting will automatically select the Off-The-Job checkbox on assessments. Please note that it only applies to assessments created after the setting is activated. This setting will also apply when creating assessments via the API or mobile app.

• ILP

  The planned end date field is now available in the list of fields on the ILP.

• Delivery Plans

  The criteria search on delivery plans now searches through all parts of the Learning Aims.

• Timesheets

  The Time column on the timesheet page has been renamed to Duration. The format of this column has also been changed to HH:MM.

• Framework Templates

  When assigning a framework template to learners, unit assessors and unit IVs will no longer be removed automatically. If you wish to remove the assessors and IVs, you can enable the centre setting 'Remove unit assessors and IVs when framework template is assigned.

• Lerner Database Report

  The 'APPOINTMENT' columns in the learner database report previously displayed only visits linked to plans. These columns have now been updated to also include visits linked to Reviews. Additionally, the column names have been changed from 'APPOINTMENT' to 'Visit' for greater clarity.

Integrations 

• API

  The API endpoint updateplannedoffthejob has been updated. The values Leave Entitlement and Minimum Hours are no longer collected by the endpoint. The values Duration and ContractedHoursPerWeek are no longer required to set the PlannedHours.

Fixes

Eportfolio

• When the setting 'Always send tasks to the assessor who created the assessment plan' is enabled, assessors who are no longer assigned to a learner will not be reassigned to that learner. Instead, tasks will be directed to the default assessor if the original assessor is no longer assigned.
• The learner status is not loaded when opening an Assessment Plan created from the Gap Analysis.
• An error occurs when adding criteria to a delivery plan when a framework template has two learning aims that use the same unit.
• An error occurs when the default target associated with the learning aim does not match the target set for the unit for a learner.  
• A task is not sent to an employer when the employer must sign an assessment first.

Eportfolio Scorecard

• When viewing a completed scorecard, a 'date to' is now considered when determining which criteria should be highlighted.

Eportfolio Courses

• The sorting of courses on the courses page is not sorting correctly.

Integrations 

• BKSB integration receives an error when a learner's last name is empty.
