Overview
There are several ways to report on Off‑the‑Job (OTJ) activity in Onefile Eportfolio. This article explains the available reports, the difference between legacy and current OTJ fields, and how Centres can export data for deeper analysis.
Off‑the‑Shelf Reports
The Off‑the‑job report is available under Reports > Learner Reports. Please note:
✔️ Top Tip: Clear the dates from the Anticipated Completion Date filter to view all learners regardless of their planned end date.
Learner Database Reports
In the Learner Database Report (Learner View), you can select which OTJ fields are displayed. This report supports both Legacy OTJ fields and Current OTJ fields.
Legacy Fields (Pre‑Aug 2022)
- Total Contracted Hours
- Target Off‑the‑job %
- Actual Off‑the‑job Hours
- Off‑the‑job %
Current Fields
- Method of Calculating Min OTJ
- Planned OTJ (Hours)
- Minimum OTJ (Hours)
- Duration (Weeks)
- % of Planned OTJ
- Expected OTJ to Date (Hrs)
- Expected OTJ Deviation (Hr)
- Last OTJ Activity
Export to Excel
All Onefile reports can be exported as CSV files and opened in Excel. This allows you to create your own dashboards, charts, or insights.
Data Exports (FTP)
All Off‑the‑Job data is also available through Data Exports. The OTJ fields are stored in the User.csv file.
- The file updates automatically overnight.
- Data can be downloaded from your FTP area.
- Exports can be used to feed a data warehouse or for internal reporting.
Tips & Notes
- Current OTJ fields reflect ESFA requirements and the updated OTJ model.
