Upcoming Software Update: Enrol Onboarding

On Thursday, 18th June 2026, we’ll be rolling out a series of improvements to Enrol Onboarding.

Allow selected employers access to resource files

User Roles

This feature can be used by users with the appropriate permissions:

  • Centre Manager
  • User Manager
  • Centre Monitor
  • Assessor
  • Trainee Assessor
  • Employer
  • Internal Quality Assurer
  • Lead Internal Quality Assurer
  • Observer

Overview

You can control which employers have access to specific Resource folders in Onefile Eportfolio. This allows you to share documents such as policies, onboarding information, or learning materials with selected employers only.

Steps

How to Allow Selected Employers Access to a Resource Folder

  1. Click Resources from the left navigation bar.
  2. Click New Folder.
  3. Select Only the following types of users can access this folder:.
  4. Tick Employer.
  5. Select Specific employers.
  6. Choose the employers you want to give access to.
  7. Click Save.

Giving Employers Access to Individual Files

Access can also be granted on a file‑by‑file basis:

  1. Select the file.
  2. Click the Edit icon.
  3. Follow Steps 3–7 above to assign access to specific employers.

Tips & Notes

  • You can grant access at folder or file level, depending on your requirements.
  • Permissions apply immediately once saved.
  • Employers will only see the folders or files you grant access to.
