Upload Resources

Overview

You can upload files and create links in the Onefile Resources area to share documents, guidance, policies, and other important materials with users across your Centre.

Who Can Use This Feature?

  • Centre Manager
  • User Manager
  • Centre Monitor
  • Internal Quality Assurer (IQA)
  • Assessor

Permissions

  • Manage Resources permission is required.

Centre Settings

No additional settings are required to upload or manage resources.


How to Upload a Resource

Step 1: Open the Resources Area

  • Click Resources in the navigation menu.

Step 2: Choose a Folder

  • Open the folder where you want to upload the file.

Step 3: Upload the File

  • Click the Upload icon.
  • Select the file you wish to upload.
  • Click Upload to complete.

How to Create a Link in Resources

Step 1: Open the Resources Page

  • Click Resources in the navigation menu.

Step 2: Add Your Link

  • Click Create Link.
  • Paste the URL.
  • Enter a Link Description (optional).
  • Select Who Must Sign (optional).
  • Select Appeals Procedure (optional).
  • Click Test to verify the link.
  • Click Create to save.

Permissions & Visibility

  • If you do not have resource management permissions:
    • You will not see checkboxes next to files.
    • You will not see upload, edit, or delete icons.

Uploading to a “Centre Resources” Folder

Uploading into the main Centre Resources folder  unlocks additional options:

  • Who Must Sign — Requires selected users to confirm they have read the document on their next login.
  • Appeals Procedure — Displays the document as a quick-access link at the bottom of the learner’s homepage.

Important: Only one resource can be set as the Appeals Procedure. Untick the existing file before assigning a new one.

✅ Tip: Use folders to organise resources by programme, role, or topic to make navigation easier for users.
