Data is synced between Onefile Eportfolio and ProSolutions

Overview

The ProSolution integration provides a one‑way data sync from ProSolution into Onefile Eportfolio. Only a limited set of fields are included in the synchronisation process. This guide explains which fields are imported and what is not included as part of the current integration.

Learner Details Synced from ProSolution

The following learner fields are synced from ProSolution into Onefile:

  • First Name
  • Last Name
  • Date of Birth
  • Email
  • Home Address
  • Telephone Number
  • Mobile Number
  • NINO
  • ULN
  • L12 – Ethnicity
  • L13 – Gender
  • L14 – Learning Difficulties, Disabilities and/or Health Problems
  • L15 – Disability
  • L16 – Learning Difficulty
  • LSF

Learning Aim Fields Synced from ProSolution

  • NDAQ Code
  • Actual Start Date
  • Planned End Date
  • Certificate Applied Date
  • Actual Certificate Date
  • Learning Aim Status

Missing Data Fields

The current ProSolution integration does not sync the following:

  • Scheduling reviews
  • Allocating units
  • Setting the Assessor or Internal Verifier

While Onefile provides endpoints for these features via the API, the software provider Advanced has chosen not to expand the list of fields included in the ProSolution sync.

Tips & Notes

  • All synced data is imported from ProSolution only — no data is written back.
  • Any additional setup (such as unit allocation or assessor assignment) must be completed manually or via the Onefile API.
  • Ensure learner data in ProSolution is accurate before enabling synchronisation.
