On Thursday, 18th June 2026, we’ll be rolling out a series of improvements to Enrol Onboarding.

Configuring the PICSWeb integration for first use

Overview

This guide explains how to prepare and configure the PICSWeb integration for the first time. If your organisation previously used the PICS Desktop Onefile integration, additional steps may be required before enabling the new connection.

PICS Desktop Onefile Integration

Customers already using the PICS Desktop integration should follow Pellcomp’s guidance before enabling and configuring the PICSWeb integration.

Existing Data in Onefile

If Assessors or Placements already exist in Onefile, these must be manually updated in PICSWeb. This prevents the integration from creating duplicate records. To do this, link each Onefile Assessor or Placement to the correct record in PICSWeb.

Refresh Qualification Links

To retrieve the most up‑to‑date list of learning aims from Onefile, click the Refresh Qualification Links button located in the Integration Status section of the Onefile Summary page in PICSWeb.

Link Apprenticeship Standards

If you deliver Apprenticeship Standards, you will likely want the standard, on‑programme learning, gateway, and EPA learning aims to sync with PICSWeb.

To enable this, match the codes used for each learning aim to the VQ reference fields in PICSWeb. These learning‑aim codes appear in square brackets after the learning aim title on the Learning Aims page for Centre Managers or User Managers in Onefile.

  • Ensure all existing Assessors and Placements are linked before enabling the sync.
  • Refreshing Qualification Links ensures you are working with the latest mapped aims.
  • Apprenticeship Standard mapping ensures accurate programme syncing between systems.

Please note the terminology used in this article may differ depending on your Centre or MIS configuration.
