On Thursday 4th Novemeber 2025, we’ll be rolling out a series of enhancements to RPL Funding Calculator.

Minimum Off-the-Job Training (OTJT) Requirements. (August 2025)

Now aligned to DfE guidance: The system references the Department for Education’s published spreadsheet for minimum OTJT hours for apprentices starting on or after 1 August 2025.

Timesheet enhancements

Timesheet page updates: When you assign a standard to an apprentice, the “Published Minimum OTJ Hours” (based on their episode start date) is now displayed directly in the timesheet interface.

Recognition of Prior Learning (RPL)

RPL hours recording: You can now add RPL hours on the timesheet page and on the episode page.

Automatic calculation: Adding RPL reduces the apprentice’s remaining minimum OTJT hours—but never below 187 hours.

 

Delivery Plan:

New RPL field: A dedicated RPL hours field is now included on the learner’s delivery plan.

OTJ recalculation: The system now deducts RPL hours from the published minimum hours.

Auto‑population: Locking the delivery plan allows RPL hours to be copied to the timesheet and episode section.

Framework Template

Template overview: Framework templates now show both:

  • The published minimum OTJT hours for starts from academic year 2025/26 onwards.
  • The previous duration‑based minimum OTJT value for earlier starts.
  • Learner assignment logic: Once the template is assigned, the system uses the apprentice’s actual episode start date to determine which OTJT value applies.
