Downloading a Learner Portfolio

Overview

The Download Portfolio feature allows authorised users to export a learner’s portfolio, including evidence, attachments, and key records, for offline review or archiving.
The downloaded portfolio can be viewed in a browser for easy navigation.

Who Can Use This Feature?

This feature can be used by the following user roles:

  • Centre Manager

  • Centre Monitor

  • Assessor

  • Learner

  • Internal Quality Assurer

  • Lead Internal Quality Assurer

  • Employer

  • Observers

Permissions

Users must have the “Can Download Learner Portfolio” permission enabled.


Steps to Download a Portfolio

  1. Navigate to the Learner’s Portfolio

    • Open the learner’s portfolio.
  2. Access Download Options

    • In the Information and Options section, click Manage.
    • Click Download Portfolio.
  3. Choose Export Settings

    • Tick Include file attachments if you want attachments included in the export.
  4. Request Download

    • Click Request Download.


Tip: Always include attachments for a complete record of learner evidence.

After Requesting Download

  • You will receive a message/email notification when the portfolio is ready.
  • To download:
    • Click Download ZIP File.

How to View the Downloaded Portfolio

  1. Locate the ZIP file.
  2. Extract the ZIP file (right-click and select Extract All).
  3. Open the folder titled Portfolio (unless renamed).
  4. Open the file named Index.htm.
    • This will load the portfolio in a browser window, allowing you to navigate as you would online.

  • Cancellations
  • Expert Witnesses & Witnesses
  • Timesheets and Off-the-job Summary
  • Journal Entries (if using the old version of the journal)
  • Tasks Completed
