Off-The-Job calculation (August 2022 to August 2025)

Overview

Off-the-Job (OTJ) progress is calculated by comparing the learner’s Actual Off-the-Job hours against their Planned OTJ hours. This provides a percentage indicating how much of their planned OTJ training has been completed.

Key Information

  • Total Contracted Hours should reflect the learner’s total weekly hours.
  • The OTJ percentage increases as more Actual OTJ hours are logged.
  • The OTJ percentage should reach 100% when the learner completes all Planned OTJ hours.

Formula for Calculating Off-the-Job %

The following formula is used:

(Actual Off-the-job Hours ÷ Planned OTJ (Hrs)) × 100

The result shows what percentage of the learner’s Planned OTJ hours has been achieved.

Understanding Planned OTJ %

The Planned OTJ % reflects:

  • What percentage of the learner’s Total Contracted Hours have been allocated as Off-the-Job.
  • This helps determine whether the planned training meets funding rules.

OTJ Completion

The learner reaches 100% OTJ progress once the Actual OTJ Hours match or exceed the Planned OTJ Hours.
