On Wednesday, we will be updating Eportfolio to introduce some new enhancements.

Minimum Off-the-Job Training (OTJT) Requirements

Eportfolio has been updated to reflect the latest guidance from the Department for Education (DfE) regarding minimum OTJT hours for apprenticeship standards.

• The system now references the DfE published spreadsheet for minimum OTJT values for apprentices starting on or after 1st August 2025.
• Eportfolio will stay aligned with future DfE updates to ensure the most current OTJT values are always used.
• For apprentices with an episode start date before 1st August 2025, the minimum OTJ will continue to be calculated using the previous funding rules.

Timesheet Enhancements

• When an apprenticeship standard is added to an apprentice, the Published Minimum OTJ Hours will now be displayed on the timesheet page.

Recognition of Prior Learning (RPL)

• An apprentice's RPL hours can now be recorded directly on either the timesheet and episode pages.
• The system will automatically reduce the apprentice’s minimum OTJ hours based on the RPL hours entered.
• The minimum OTJ with the RPL reduction will not drop below 187 hours.

Delivery Plan Updates

• A new RPL hours field has been added to the learner’s delivery plan. This allows the collection of the RPL reduction before it has been entered on the timesheet page.
• The minimum OTJ is recalculated by deducting RPL hours from the published minimum hours.
• Whilst locking the delivery plan, the RPL hours can be copied to the timesheet and episode.

Framework Template Enhancements

• The framework template page now displays:
  • The newly published minimum OTJT hours (for starts from academic year 2025/26 onwards).
  • The previously calculated value based on duration (for starts before academic year 2025/26).

API Update

• The updateplannedoffthejob API endpoint has been updated to allow a learner's RPL hours to be set programmatically.

These changes aren't guaranteed to be included in this update.  Any changes to the above planned updates will be communicated in this thread!
